The single biggest cause of sourcing friction is a vague enquiry. "I need MDI" cannot be quoted firmly, because MDI is a family. Specify:

- Polyols: either a defined polyether/polyester polyol by OH value and functionality, or a formulated system polyol described by the foam it makes (flexible slabstock, HR moulded, rigid PIR board, spray foam) and its performance targets.

Understand index before you buy
The isocyanate index — how much isocyanate you use relative to the stoichiometric requirement — determines how much isocyanate your formulation consumes, and therefore how much you need to buy per tonne of foam. A rigid PIR system running at high index consumes far more MDI than a balanced PUR system; a flexible system's index sets your TDI demand. Knowing your index is part of knowing your true raw-material requirement and cost, and it is one of the first things a knowledgeable supplier will ask about. Buying without reference to index is buying blind to your own consumption.
Read the Certificate of Analysis
A Certificate of Analysis is not paperwork to file and forget — it is your quality control at the receiving dock. For isocyanates it records properties like NCO content, viscosity and acidity for the specific batch; for polyols, OH value, functionality, water content and viscosity. Use it to:
- Verify the batch meets your spec before it enters production, catching off-spec material before it becomes off-spec foam.
- Support your own certifications — fire ratings, emission certifications and quality systems all rest on documented, consistent inputs.
- Provide traceability if a defect investigation ever needs to rule the raw materials in or out.
Insist on a CoA on every shipment. A supplier who provides it as standard is a supplier who controls their product.
Choose Incoterms that fit your operation
Incoterms 2020 define who does what and who bears risk at each stage of the shipment — and the right choice depends on your capabilities, not on a universal "best" term:
- FOB suits buyers with their own freight and insurance arrangements who want control of the main carriage.
- CFR / CIF suit buyers who prefer the seller to arrange (and, for CIF, insure) the ocean freight to the destination port.

Polyurethane raw materials are regulated goods, and the documentation and packaging must match the product and route:
- Packaging — drums, IBCs, isotanks or bulk — chosen for the product, volume, route and your handling capability. Moisture-sensitive isocyanates need sealed, dry packaging; the wrong choice risks off-spec material on arrival.
- Safety and regulatory documents — safety data sheets, dangerous-goods declarations where applicable, certificates of origin, and the commercial and transport documents that clear customs cleanly.
